What it does

For central claims teams, consultants and finance, and for the executives who answer for the numbers.

From the anchor date, Workstride lays out the 12, 26 and 52-week outcome periods, with the Full and Partial Outcome hours for the participant's Employment Benchmark and the Outcome Fee at their Funding Level, from the Fee Annexure effective 1 November 2025.

Once a period has ended and the recorded hours show it was achieved, Workstride raises the claim onto the claims team's board with a stamped note marked raised automatically. Raising happens when hours, breaks or placement dates are recorded, or an earlier claim is lodged, not on a timer, and this setting ships switched on. In the build

Caution

If every payslip for a period is already on file before the period ends, the claim will not appear by itself. It waits for the next thing to be recorded, for example the following payslip or a break. A scheduled check that raises claims the moment a period ends is on the roadmap. Planned

Waiting on approval

Moving a card to Lodged or Approved by the Department records what your claims team has already done in ESS Web, by hand. Workstride does not lodge claims into the Department's systems itself: that needs web services granted under the Third Party IT Vendor Deed. Waiting on approval

Outcome periods and fees

Outcome periods run 12, 26 and 52 weeks from the anchor date, and the 26 and 52-week periods stretch by the length of any permissible break (Part B 9.5.2, Part B 9.5.3).

Fee Annexure effective 1 November 2025, GST inclusive. The Department can replace the Fee Annexure each 1 July (Deed 158). A Moderate Intellectual Disability Payment is added on a Full Outcome only, for a participant averaging at least 15 hours a week over the period (Part B 11.6).

A 26-week claim waits until the 12-week claim is lodged, and a 52-week claim waits for the 26-week claim (Deed 163.3). In the build

The claims board

Every claim sits in one of seven columns: Claims inbox, In progress, Information needed, On hold, Lodged, Lodged under override and Closed. Cards are shaded amber after 5 days and red after 14 days without a move, except in Lodged, Lodged under override and Closed, which are never shaded by age.

Every move is recorded with a reason and the Department's claim identifier. If the claims team needs more from a consultant, the request appears in that consultant's own work list with its deadline. In the build

Note

The Deed requires the earlier Outcome Fee to be paid, not only claimed, before the next one can be claimed (Deed 163.3). A claim whose claim window closes before its period is achieved moves to Out of time. Workstride's reminders at 28 and 56 days are our own default, not a Department deadline: no lodgement deadline is set in the Deed or Guidelines.

Progress Fees

Progress Fees are $1,106.81, the same at every Funding Level, in 52-week registration windows from commencement (Part B 11.4.1). Up to two in a window, and only one of the two for education or training.

Workstride detects the employment basis, 24 hours over a continuous 4-week period, from wage histories already on file, and flags a window that is ending with none claimed. Education and activity fees are raised by hand with their evidence. A Recalculate now button sits beside the nightly refresh. Progress Fees are not paid in Ongoing Support (Part B 11.4.1). Ongoing Support fees, MID Payments and Non-Payable Outcomes

Ongoing Support fees and Moderate Intellectual Disability Payments sit on the same board as outcome and Progress Fee claims, with the 28-day recording deadline for contacts and instances kept in view, and a warning when a period is below the minimum. In the build

A claim also records the specific reason when an outcome is not payable, for example Recurring Employment or a related entity, against the list in the Deed's Annexure (Part B 11.5.3). In the build

Questions about claims and outcome tracking

Does Workstride lodge the claim in ESS Web for us?

No. Your claims team still lodges in ESS Web, then records the claim identifier and moves the card to Lodged. Workstride lodging claims itself needs web services under the Third Party IT Vendor Deed.

What happens if a claim's window closes before the period is achieved?

The card moves to Out of time. No lodgement deadline is set in the Deed or Guidelines; the 28 and 56-day windows that drive this are Workstride's own default reminders, which a provider can change.

Can we use this with participants now?

No. Using Workstride with participant data first needs DEWR to accredit the Workstride system and us to hold a Third Party IT Vendor Deed, then your organisation's written approval from the Department (Part A 7.2.2).
