Messaging and reporting
Email and SMS go out from your own mailboxes and sender ID, reports run inside who can already see them, and an optional assistant only drafts once your organisation has switched it on.
Email and SMS, recorded on the file
Every message goes from a real mailbox or your own sender ID, and lands back on the record it was about.
Emails go from the consultant's own mailbox or a shared one, so they sit in Sent Items under your domain. Send SMS from any record under your sender ID, with delivery receipts, replies filed on the record and STOP requests added to your opt-out register. Sending real SMS still waits on choosing and confirming a messaging gateway; the adapter, the templates and the opt-out register are built and tested against it today.
Every email and SMS is recorded on the file with a stamped note, and bulk sends skip anyone who has opted out. Message templates use merge fields, with dates shown in your own time zone.
Caution
An opt-out keyword by SMS is reliable, but an email only counts as an opt-out when it contains just the keyword: a reply that mentions STOP among other words is not caught, and stays with a person to read.

Appointment reminder, filled and sent by SMS
"Hi Linh, this is a reminder about your appointment on 24/09/2026 at 10:00am with Sunita Pillai. Call (02) 5550 0100 if you need to change it." Sender ID NORTHFOLD (8 of 11 characters, valid), 142 characters, one SMS segment. Sending the same message to the saved list "Illawarra, looking for work" (6 people) skips Kofi Osei, who has opted out. Sending it records a stamped note on each file.
A shared inbox for staff to work from together, scheduled bulk sends and delivery tracking for email are planned.
Reports, dashboards and scheduled delivery
The same report library sits behind personal dashboards, one-off runs and scheduled copies.
A report library with targets you set, personal dashboards, reports delivered on a schedule by email or chat, and read-only reporting views for Power BI or other MySQL-compatible tools that leave out names, contact details and notes. A scheduled report runs with the access of the person who scheduled it, so nobody receives more than they could see on screen.
The reporting views carry the Job Seeker ID and an Indigenous status flag on each participant, so call them read-only, never anonymous. They rebuild each night in your own organisation's database and are read through a select-only account whose password is shown once and can be rotated or revoked.
Caution
How a BI tool such as Power BI reaches those views over the network is decided once hosting is stood up, so no provider can connect one today.
Run a report
A single figure shows as a number against its target; a breakdown shows as bars. Never a line or pie chart.

Caseload by site, all time
Dubbo (DUBB) 96, Orange (ORNG) 61, Wollongong (WOLL) 113, Shellharbour (SHEL) 54, Liverpool (LVPL) 88: 412 in total, each shown as a bar. Grouped by consultant or status instead, the same 412 people split a different way. The appointment attendance rate for September 2026 is 88.4% against a target of at least 85.0%. This report is also scheduled: it goes out every Monday morning by email, scheduled by Joanne Fairweather, and runs with her own access.
Saving a scheduled report straight to SharePoint, OneDrive or Google Drive is planned. Ready-made report templates for BI tools are planned. The network route BI tools will connect through is decided once hosting is stood up. A screen for building your own report, rather than choosing from the library, is planned.
The assistant, off until you switch it on
An optional assistant, switched off until you turn it on, can draft a file note from a consented transcript or dictation, brief a consultant before a contact, and explain a job match. A person reads and edits every draft before anything is saved.
Each of the three features is switched on separately, and any feature that reads participant data stays locked until your organisation records the Department's written approval in Workstride. DEWR's Third-Party AI Assessment Framework also asks for a written approval before AI is used in service delivery. Nothing the assistant drafts is saved by itself: a person reads and edits it first, and every request is logged.
The assistant only calls Microsoft's Azure OpenAI Service, and we confirm each resource is in the Australia East region before it is switched on. What it sends is not used to train AI models. Each request is kept for 90 days by default, and an optional monthly limit stops the assistant when your organisation's allowance is used.
What it does not do
It does not decide, transcribe or predict anything, and it does not act on a record by itself. Recording a consultation is the provider's own choice.
