File notes and evidence
For consultants writing up a call or a visit, and for claims teams and auditors reading the file afterwards.
Every file note carries a date, time and user stamp, whether a person wrote it or Workstride did. Notes cannot be edited or deleted in Workstride; corrections are saved as revisions beside the original (Part A 5.3.1), and the full history, what a note first said, who corrected it, when and why, stays on the record. A note can be marked confidential, tagged, and carry time spent or travel time, and attaches to fifteen kinds of record: participants and employers, claims, expenses, queries, complaints and exits among them.
At the moments that matter, Workstride writes its own stamped note: an attendance result, a support contact, a placement acceptance, a claim submission, a query answered, a complaint, an exit or an Ongoing Support Assessment, each carrying a named system actor in place of a person. A document only counts as evidence once it passes a malware scan, run by a scanner beside the application rather than an outside service; an infected file is quarantined and stays on the record with the attempt still visible. Workstride keeps a fingerprint of every file, a confidential document needs its own permission, and every download is logged. Ask a participant for a document through the portal and Workstride tracks the request until it arrives.

Note templates, stamped PDF note extracts for upload, printing notes, one note linked to several records, evidence checklists and bundles, and forms and e-signature are all planned. Sending notes and evidence to ESS Web, and any AI draft of a note, wait on approval.
Queries, complaints and exits
For quality and compliance leads, site managers and the central team who answer questions and handle feedback.
Questions to the central team are raised on the record they are about, and the answer is stamped on that file so the next person finds it. Each query carries a type, a priority and a due date, and a query nobody has picked up, or one running past its due date, raises an alert. A participant can also ask through the portal, for the kinds of question you allow.
The Customer Feedback Register (Part A 3.5) holds every complaint, piece of feedback and compliment, with its source, category and where it was referred: the Complaints Resolution and Referral Service on 1800 880 052, or the Department's own complaints line on 1800 634 035, each recorded with its reference. The Guidelines set no response time (Part A 3.6); acknowledging in 2 business days and resolving in 10 are Workstride's own defaults, and your organisation can change them. A complaint recorded as a Code of Conduct matter reminds staff to tell the Department promptly. Participants can also contact the National Customer Service Line on 1800 805 260; that number is not yet one of Workstride's own referral options.
An exit or transfer runs through a checklist, ticked off by who and when. After a Provider Exit, Workstride tracks the 14 calendar days the Guidelines allow for telling the participant (Part B 3.6), and a participant who returns within 13 weeks resumes their Period of Service (Part B 3.6.4). Mirror the exit in ESS Web: Workstride does not record it there yet.

Settings screens for query types, recording CRRS recommendations, adding the National Customer Service Line as a referral option, secure transfer of records to another provider on request, and exit letters from templates are all planned. Recording an exit in ESS Web, and an alert that a participant has exited in the Department's own extract, wait on approval.
Staff access, roles and training
For Security Contacts, compliance leads and IT: who can sign in, what they can do, and what the record shows.
Staff sign in with the Microsoft 365 or Google Workspace account they already use, from an allow-listed directory, so your own multi-factor authentication and access policies apply. Nothing is granted by default, including a pre-grant set up by someone's work email before they arrive, and access reviews are recorded.
Your Security Contact decides who gets access and to which sites, from six standard roles or a role built from your own catalogue of plain-language permissions; a locked Security Contact permission cannot be removed, and a person only sees the actions they are allowed to take. No role activates until your Department privacy training is recorded for that person (Part A 6.13).
Suspending or removing someone's access takes effect on their next click, and removing access also deletes their API tokens. Nobody can change their own access, and the last Security Contact cannot be removed until another is nominated. Every access decision goes into a log that cannot be edited in Workstride; your Security Contact can filter it and export it to CSV for the annual self-audit. A training register lists courses by role, certificates and standings, with refresher reminders that escalate. Questions about records and access
Can a manager delete a note that was written by mistake?
No. Nobody can delete a file note in Workstride, including a Security Contact or a tenant administrator. A mistaken note is corrected with a reason, and both versions stay on the record (Part A 5.3.1).
Who sets how quickly a complaint must be acknowledged?
You do. The Guidelines set no response time for complaints (Part A 3.6), so Workstride ships with defaults of 2 business days to acknowledge and 10 to resolve, and your organisation can change either.
Can we use this with participants or staff now?
No. Using Workstride with participant data or real staff first needs DEWR to accredit the Workstride system and us to hold a Third Party IT Vendor Deed, then your organisation's written approval from the Department (Part A 7.2.2).
